Terms & Conditions

The conference AI Minds 2026 is organized by CYBERSKILL SRL (the “Organizer”), a Romanian limited liability company. All Terms below refer to this entity unless explicitly stated otherwise.

AI Minds 2026 is a curated, two-day conference for operators bringing AI into production. Defining details:

• Dates: 24-25 September 2026.
• Venue: Hala Laminor, Bulevardul Basarabia 256, București, România.
• Format: in-person only. There is no public livestream. Selected sessions may be recorded for later release on our channels.
• Schedule: doors 08:00 for check-in, sessions 09:00-18:00, day-2 networking 18:00-19:00, after-party 19:00-24:00.
• Language: Romanian and English. Most keynotes are in English; Romanian is used for fireside chats and operator panels.
• ID at entry: we may ask for a government-issued ID matching the ticket holder name as a fraud precaution.

Tickets are issued electronically as a unique QR code linked to the buyer's email address.

• Payment: Stripe Checkout in EUR. The amount displayed at checkout is the final price (VAT 21% included).
• Three tiers: Regular (700 seats), Business (700 seats), Executive (300 seats). Each tier has limited inventory and may sell out before the event.
• Personal but transferable: tickets are issued in the buyer's name. Up to 7 days before the event you may re-assign a ticket to another person — see Section 06. Multi-ticket orders prompt for per-attendee data right after purchase.
• QR code: the first valid scan is admitted. Photographing or duplicating the QR is at your own risk; subsequent scans of the same code are refused.
• Anti-fraud: tickets bought from unauthorized resellers are void with no refund. The Organizer is the sole authorized seller.

Romanian VAT is included in every published price. Conference services have a fixed location of supply (Romania) and are subject to the Romanian VAT regime in force at the time of issue (currently 21%).

• Individuals (B2C): the Stripe payment receipt and our confirmation email serve as proof of purchase. We do not issue a fiscal invoice for individuals.
• Companies / PFA / SRL (B2B): tick the "I'm a legal entity" toggle at checkout and provide the company name, CUI/CIF and registered office address. We issue a fiscal invoice via OBLIO with proper series and number, in accordance with the Romanian Fiscal Code (Law 227/2015 art. 319).
• Delivery: the invoice PDF is attached to the order confirmation email within minutes of payment.
• e-Factura / SPV: invoices for legal entities are submitted to the ANAF e-Factura system as required by law.

Conference tickets are a category of cultural & entertainment service that is exempt from the 14-day distance withdrawal right under EU Directive 2011/83/EU art. 16(l) and Romanian OUG 34/2014 art. 16(l), since they are tied to a specific date.

Refund requests are addressed to contact@theaiminds.ro with the order number and the reason. We respond within 5 working days. Approved refunds reach your card within 5-10 working days, depending on your bank.

Tickets can be re-assigned to a colleague or substitute up to 7 days before the event without fee. After that window, transfers are at the Organizer's discretion. Use the per-attendee form on your order success page or write to contact@theaiminds.ro. The Organizer may refuse transfers that compromise the curated audience policy.

Lost or compromised QR codes can be re-issued upon written request from the original buyer's email — old codes are voided immediately.

We expect respectful, professional behavior from every attendee, speaker, partner and staff member. The following conduct results in immediate removal without refund:

• Harassment, discrimination, threats — verbal, physical or digital.
• Disruptive intoxication.
• Unauthorized recording or live-broadcasting of sessions.
• Aggressive sales pitches at networking areas.
• Damaging the venue or other attendees' property.

The Organizer is the sole arbiter of these decisions on-site. Reports of unsafe behavior can be made to any staff member at the event or to contact@theaiminds.ro at any time.

The Organizer reserves the right to update the agenda, replace speakers, adjust room assignments and change minor venue logistics. We commit to reasonable notice via email and on this website. Such changes do not entitle the participant to a refund unless the event itself is cancelled or rescheduled by more than 30 days.

To the maximum extent permitted by Romanian law, the Organizer's aggregate liability towards any participant is limited to the ticket price actually paid. The Organizer is not liable for indirect, consequential, punitive or special damages, including loss of profit, lost business opportunities, or reliance damages. Nothing in these Terms limits liability for fraud or wilful misconduct.

Neither party is liable for failure or delay caused by an event of force majeure: acts of war, terrorism, civil unrest, government action, pandemic, fire, flood, earthquake or other natural disaster, prolonged power outage or large-scale telecom failure. In such cases the Organizer will work in good faith to reschedule the event; tickets remain valid for the new dates.

The event is photographed and may be filmed for promotional and editorial purposes. By attending, you grant the Organizer a non-exclusive, worldwide, royalty-free license to use your image as captured during the event for these purposes. If you object, please notify us in writing at contact@theaiminds.ro before the event and avoid the recording zones marked on-site.

The "AI Minds" name, the wordmark, the website design, and all conference materials remain the property of the Organizer. Speaker presentations remain the property of their respective speakers; we may distribute slides post-event with the speaker's consent. You may not redistribute or rebroadcast event content without prior written authorization.

Your data is processed under our Privacy Policy, in accordance with EU GDPR (Regulation 2016/679) and Romanian Law 190/2018. The Privacy Policy is incorporated by reference and forms part of these Terms.

These Terms are governed by Romanian law. We will try to resolve any dispute amicably first — write to us with the details. Disputes that cannot be settled out of court are submitted exclusively to the competent courts of Bucharest, Romania. Consumers also retain the right to use the EU online dispute resolution platform at ec.europa.eu/consumers/odr.
